Mint Source LLC (“Mint Source,” “we,” “us”) is a remote staffing and embedded HR company. We connect businesses with talent around the world, and that means we handle personal information belonging to candidates, contractors, clients, and website visitors. This Privacy Policy explains what we collect, why we collect it, where it goes, and the choices you have.

1. Who This Policy Covers
This policy applies to:
- Candidates and contractors: people who apply for roles through Mint Source, are placed with our clients, or are employed or engaged through our Full-Suite HR service.
- Clients: businesses and their representatives who use our recruitment or HR services.
- Website visitors: anyone browsing themintsource.com.
2. Information We Collect
- Identity and contact details: name, email address, phone number, country of residence, and LinkedIn or other professional profiles.
- Recruitment information: resumes, work history, education, skills, assessment results, interview notes, references, and compensation expectations you share with us.
- Employment and payroll information (Full-Suite HR only): contracts, bank or payment details, tax information, performance records, and other data needed to employ and pay you.
- Client information: business contact details, billing information, and records of our work together.
- Usage data: IP address, browser type, pages visited, time spent, and how you interact with our website.
- Cookies and similar technologies: see Section 8.
3. How We Use Your Information
We use personal information to:
- Match candidates with client roles and manage the recruitment process.
- Deliver our recruitment and embedded HR services, including onboarding, payroll, and performance support.
- Communicate about opportunities, placements, invoices, and service updates.
- Improve our website, processes, and service quality.
- Comply with legal, tax, and regulatory obligations.
4. Legal Basis for Processing (GDPR)
Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:
- Consent: when you submit your details to be considered for roles or join our talent pool. You can withdraw consent at any time.
- Contract: to take steps before entering a contract with you, or to perform one, for example placing you in a role or running payroll under our Full-Suite HR service.
- Legitimate interests: to run and improve our business, market our services to businesses, and keep our website secure, always balanced against your rights.
- Legal obligation: to meet tax, employment, and record-keeping requirements.
5. International Data Transfers
Mint Source operates globally, and personal information routinely crosses borders. In a typical placement, a candidate may be located in one country (for example Brazil, the Philippines, Pakistan, or South Africa), our clients are primarily in the United States, and our internal team operates from Pakistan. Data you share with us may therefore be transferred to, stored in, and accessed from the United States, Pakistan, and the country where a relevant client or candidate is based.
Wherever your data travels, we protect it the same way:
- We share candidate information with clients only for relevant roles and with the candidate’s consent.
- Our service providers and clients are bound by confidentiality and data protection commitments.
- Access is limited to the people who need it to deliver the service.
- Where required by the GDPR or UK GDPR, we use appropriate safeguards for transfers outside the EEA or UK, such as the European Commission’s Standard Contractual Clauses.

6. Sharing and Disclosure
We do not sell your personal data, and we do not share it for cross-context behavioral advertising. We share information only:
- With clients: candidate profiles are shared with your consent and only for roles relevant to you.
- With service providers: trusted vendors that support our operations, such as our applicant tracking system, communication and collaboration tools, payment and payroll providers, and website hosting and analytics services. They may only use your data to provide services to us and are bound by confidentiality obligations.
- When legally required: to comply with applicable law, legal process, or enforceable government requests, or to protect our rights and the safety of others.
- In a business transition: if Mint Source is involved in a merger, acquisition, or sale of assets, your data may transfer as part of that transaction, subject to this policy.
7. Data Retention
We keep personal information only as long as we need it:
- Candidate data: retained for 24 months after our last meaningful interaction with you. If you consent to joining our talent pool, we keep your profile active so we can contact you about future roles, and we refresh that consent periodically. You can ask us to delete your data sooner at any time.
- Employment and payroll records (Full-Suite HR): retained for the duration of the engagement and afterward as required by tax, employment, and accounting laws, typically up to 7 years.
- Client records: retained for the duration of our relationship and afterward as required for legal, tax, and accounting purposes.
- Website and cookie data: retained according to the lifespans described in Section 8.
When data is no longer needed, we delete it or anonymize it.
8. Cookies and Tracking Technologies
Our website uses cookies. When you first visit, a banner lets you accept or decline non-essential cookies. We use the following categories:
- Essential cookies: required for the website to function, including security and the cookie banner itself. These cannot be switched off.
- Analytics cookies: help us understand website traffic and how visitors use our pages, so we can improve the site. Analytics data is aggregated and does not identify you personally.
- Functional cookies: remember your preferences, such as your cookie choices, so you don’t have to reset them on every visit.
You can manage cookies in three ways: through our cookie banner when you first visit, by clearing or blocking cookies in your browser settings, or by contacting us at hr@themintsource.com. Declining non-essential cookies will not affect your ability to use the site.
9. Your Rights
Depending on where you live, you have the right to:
- Access the personal data we hold about you and receive a copy.
- Correct inaccurate or incomplete data.
- Request deletion of your data.
- Withdraw consent at any time, without affecting processing that happened before withdrawal.
- Object to or restrict certain processing.
- Receive your data in a portable format.
To exercise any of these rights, email hr@themintsource.com. We respond to all requests within the timeframes required by applicable law, and we may ask you to verify your identity first.
For individuals in the EEA or UK: if you believe we have not handled your data lawfully, you also have the right to lodge a complaint with your local data protection supervisory authority. We would appreciate the chance to resolve your concern first, so please contact us before doing so.
10. California Privacy Rights (CCPA/CPRA)
If you are a California resident, you have the right to:
- Know what personal information we collect, use, and disclose.
- Access and receive a copy of your personal information.
- Correct inaccurate personal information.
- Delete your personal information, subject to legal exceptions.
- Opt out of sale or sharing: Mint Source does not sell personal information and does not share it for cross-context behavioral advertising, so there is nothing to opt out of. If that ever changes, we will update this policy and provide a clear opt-out mechanism first.
- Non-discrimination: we will never deny you services, charge you different prices, or provide a different level of service because you exercised your privacy rights.
To exercise these rights, email hr@themintsource.com with “California Privacy Request” in the subject line. You may also use an authorized agent, in which case we may ask for proof of authorization.
11. Data Storage and Security
Your data is stored securely using industry-standard practices. We use reputable, access-controlled platforms for candidate and employment data, limit access to team members who need it, and apply technical and administrative measures designed to prevent unauthorized access, loss, or misuse. No system is completely secure, so if we become aware of a breach affecting your data, we will notify you and the relevant authorities as required by law.
12. Children’s Privacy
Our services are for professionals and businesses. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal data, contact us and we will delete it.
13. Updates to This Policy
We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated effective date. For significant changes, we will take reasonable steps to notify candidates and clients directly.
